Title: Registrar Assistant I
Description: Performs complex clerical and detailed work which requires a specialized knowledge of Midwestern State University policies and procedures. Usually performs a combination of tasks, but may specialize in a specific area of responsibility, such as verification of enrollment, instructor drop and removal of incomplete letters, data entry, etc. Works independently to manage functional area to mesh with other office procedures. Communicates with students both orally and in writing, providing general information about MSU, specific information about registration procedures and referral to information resources among others in the campus community. Supervises student assistants involved in performing routine clerical work. Performs specialized tasks involving the use of the student information software system, Microsoft Office programs, and calculators. Reports to the Registrar.
Examples: Maintains record of transcript requests and application for graduation monies received in line with acceptable business procedures. Verifies enrollment records to external agencies. Reviews class schedules, degree plans, and withdrawals as required for verification of attendance of both current and former students. Assists with registration of students, grade entry and posting, removal of incomplete grades, and drop slips, and imaging of academic records. Assists with bulk mailings. Plans work assignments daily, monthly and yearly to coincide with cyclical nature of office responsibilities. Accepts transcript requests, walk-in, phone, and mail inquiries or documents via computer/e-mail. Daily personal, telephone, or written contact with students, other members of the campus community and the general public. Serves in the front-counter customer service position.
Physical Condition: Some moderate to heavy lifting of files and bags or boxes for bulk mailings.
Experience: Should have considerable experience in working with the public in person, by telephone and through written memoranda or letters. Experience and training in college environment desirable, preferably in related area such as Registrar's office or Admissions office.
Knowledge: Must have good knowledge of generally accepted office practices and procedures. Working knowledge of student data base systems, helpful. Must know general information about university policies and procedures. Must be skilled in the use of personal computers including Microsoft applications, calculators by touch and other general office equipment.
Education: Graduation from an academic high school program including or supplemented by training in typing and/or business courses. Some previous college enrollment and coursework required. Experience in university environment may substitute for the college enrollment requirement.
Additional Requirements: Excellent interpersonal skills and a courteous and caring customer service attitude are required. Must have strong written and oral communication skills and be a positive representative for MSU to a diverse population. Must understand effective office procedures, be able to plan and manage tasks, understand and follow complex detailed instructions, and make independent decisions. Strict confidentiality must be maintained. *Regular reliable attendance is required. *Typing test required. *This position is designated as security sensitive and requires a criminal background check.
