Title: Registrar Assistant II
Description: Performs complex clerical and detailed work which requires a specialized knowledge of legal and fiscal programs of government agencies, the State of Texas and the interrelationships of these rules and states to Midwestern State University policies and procedures. Usually performs a combination of tasks, but may specialize in a specific area of responsibility such as processing withdrawals, transcript production, and evaluation of transcripts. Works independently to manage functional area to mesh with other office procedures. Communicates with students both orally and in writing regarding decisions made. Prepares complex as well as routine reports for both external and internal distribution. Supervises clerical assistants involved in performing routine clerical or typing work. Has working knowledge of student data base system. Performs specialized tasks involving the operation of computer terminals, word processing equipment, as well as typewriters and calculators. Reports to the Registrar.
Examples: Maintains records of transcript and graduation monies received and prepares deposits. Assists with review of transcripts for accuracy and core curriculum completion. Assists with posting of credit by examination. Works on production of Schedule of Classes, assisting with room scheduling. Plans work assignments daily, monthly, and yearly to coincide with cyclical nature of office responsibilities. Revises and updates forms as required. Daily entry of documents into information system. Daily heavy personal, telephone, or written contact with students and other members of the campus community. Supervises student assistants, organization of student record storage and microfilming procedures. May advise students about appropriate application procedures.
Physical Condition:
Experience: Experience and training in college environment for one to two years, preferably in related area such as Registrar’s Office, or an Admissions Office. Should have considerable experience in working with public
Knowledge: Considerable knowledge and use of good written and oral English. Skill in the operation of typewriters, computer terminals, calculators and other usual office equipment. Understanding of effective office procedures. Ability to plan and manage work, understand and implement complex, cross-related tasks, make independent decisions, supervise clerical assistants and maintain good relationships with the public. Must be adaptable, flexible and cooperative. Typing test required.
Education: Graduation from an academic high school program including or supplemented by training in typing and/or business courses. College work required, degree preferred.
Additional Requirements: Some college or university training highly desirable. Able to use a database; good typing and word processing skills, e-mail and web familiarity. Must be able to analyze application data and organize information into reports. Interprets and explains catalog policies. Responsible for organization of several file cabinets and transportation of files to the vault. Moderate lifting required. *Regular reliable attendance is required. *This position is designated as security sensitive and requires a criminal background check.
